DenGro’s pre-set automated messages are powerful tools that help move patient leads through their journey to treatment.

However, there may be times when you want to go beyond automation and run tailor-made email campaigns.

✨ Why Send a Custom Email Campaign?

Here are a few common use cases:

  • Retarget old or existing leads with a promotion or offer (e.g. a summer sale ☀️).

  • Re-engage leads who weren’t ready for treatment previously.

  • Promote other treatments (e.g. Invisalign leads could be offered teeth whitening or facial aesthetics).

  • Send service announcements to your patient base.

💡 Tip: Custom campaigns allow you to speak directly to specific groups, boosting engagement and conversions.

🛠️ Using an Email Marketing Tool

To send custom campaigns, you’ll need to use an email marketing platform. Integrating with one allows you to target the right audience with the right message, beyond what automated messages offer.

📬 What is Mailchimp?

One of the most popular tools for email marketing is Mailchimp.

  • 🧩 Easy to set up and user-friendly

  • 📚 Offers excellent support docs for creating templates and managing data

  • ✅ Recommended by many dental coaches

⚠️ Note: There are other email marketing platforms available — choose one that best fits your practice’s needs.

🚀 Getting Started with Mailchimp

To launch your first campaign in Mailchimp, follow these basic steps:

✅ Step 1: Create an Account

Go to mailchimp.com and sign up for a free or paid account.

✅ Step 2: Build a Template

Use Mailchimp’s intuitive builder to design your email content.

✅ Step 3: Upload Your Data

Prepare your lead data in a .CSV file, then upload it into Mailchimp.

🧠 Using DenGro to Improve Campaign Relevance

For email campaigns to be effective, relevance is key.
Sending Invisalign offers to someone interested in implants wastes both your time and theirs—and could harm open rates long-term.

🎯 DenGro Captures Valuable Lead Data

You can use DenGro’s filters to create highly targeted mailing lists. Useful filters include:

  • Lead status (e.g. inactive, new, followed up)

  • Reason for inactivity (e.g. cost too high, not ready)

  • Date lead was added to DenGro

  • Lead source (e.g. website, Facebook, referral)

  • Treatment interest (e.g. Invisalign, implants)

📤 Exporting Data from DenGro (4-Step Process)

Follow these steps to export targeted data:

✅ Step 1: Go to Leads

From your DenGro dashboard, navigate to Contacts > Leads.

✅ Step 2: Apply Filters

Use the filters on the right-hand side to narrow your list.
Example: All inactive Invisalign leads added between 1st Jan – 30th April 2025.

✅ Step 3: Click ‘Download Leads’

Once your filters are applied, click the Download Leads button.

✅ Step 4: Customise the Export

You’ll be able to:

  • Remove unnecessary columns

  • Keep key data: First Name, Last Name, Email Address, Treatment

The file downloads as a .CSV, ready for upload to your email platform.

⚠️ Warning: Only export and contact leads who have given consent. Refer to GDPR guidelines below.

✅ Legal Reminder: Use Data Responsibly

Under GDPR, your practice must have recorded consent before contacting leads with marketing content.

  • DenGro tracks consent where configured.

  • Your exported .CSV will include a consent status column.

  • Filter out leads without consent to ensure compliance. ✅
